Subject: New Comment Policy

I have recently noticed several negative postings on our company’s website. These postings may lead to a hostile work environment and will not be tolerated.

Therefore, beginning on Monday, October 19, 2009, a new comment policy will take effect that applies to all employees working for this company. This policy states that when posting in the comment section of this company’s website, the employee must:

  1. Never insult, threaten, libel, demean or harass any other person
  2. Never use profanity/inappropriate sexual comments
  3. Stay on the topic of the original post
  4. Never advocate violence
  5. Never post for personal gain

All posts will be reviewed prior to being posted on the website. The person reviewing the posts is not connected with this company, except for the purposes of reviewing posts. Any post that the reviewer does not find appropriate will not be allowed on the website. If an employee is found to be violating this policy repeatedly, disciplinary action, up to and including termination, will be taken.

A form that accepts understanding of these terms will be sent to all employees. This form is to be signed and returned to your respective supervisors by Friday, October 16, 2009.

Please understand that this company values the feedback of its employees. Commenting on the website has directly resulted in many better changes, and this will continue to be the case. The negative comments on the website are few and far between, but action must be taken now to prevent this from spiraling out of control. If you have any questions or concerns, please do not hesitate to ask me. Thank you for your attention to this matter.
